Payments

Create, manage, filter, and understand payment statuses.

Admins can create payments from Payments → Add Payment or from the Dashboard quick action.

Steps

  1. Select a team (if your club has more than one) — Filters the player list down to that squad.
  2. Select players — Choose one or more players. You can search by name to find them quickly.
  3. Select payment type(s) — Pick from your predefined payment types or enter a custom reason. You can select multiple payment types at once; each carries its own Fee/Fine category.
  4. Set the amount — The default amount from the payment type auto-fills, but you can override it with a custom amount.
  5. Link to a game (optional) — Associate the payment with a specific match.
  6. Click Add Payment to submit.

Bulk creation

If you select 3 players and 2 payment types, PayUp will create 6 payments (3 × 2) in one go. This makes match-day payment creation fast and efficient.

Every payment in PayUp has one of three statuses:

Unpaid

The payment has been issued but not yet paid. It counts towards the player's outstanding balance.

Paid

The payment has been settled — either through online payment (Stripe) or manually marked as paid by an admin. Paid payments move from the "Outstanding" to "Collected" totals.

Void

The payment has been cancelled by an admin. Voided payments do not count towards the player's balance. They remain in the system for record-keeping but are excluded from all calculations.

Admins and super admins can manage payments from the Payments page or from a player's detail page.

Editing a payment

Super admins can edit a payment's details:

  • Change the reason (payment type or custom text)
  • Adjust the amount
  • Update the date
  • Change the linked game

Voiding a payment

Admins can void an unpaid payment to cancel it. The payment stays on record but is marked as void and removed from the player's balance. This is useful for payments issued in error.

Deleting a payment

Super admins only can permanently delete a payment. This removes it entirely from the system. Use this sparingly — voiding is usually the better option for audit trails.

The Payments page offers several ways to find specific payments.

Filter tabs

At the top of the payments list, use the status tabs:

  • All — Every payment in the current season.
  • Unpaid — Only outstanding payments.
  • Paid — Only settled payments.
  • Void — Only cancelled payments.

Dropdown filters

Further narrow results by:

  • Player — Show payments for a specific player.
  • Game — Show payments linked to a particular match.
  • Reason — Show payments of a specific type/reason.

Text search

Use the search bar to find payments by player name or payment reason. Search is instant and case-insensitive.

Payment types are reusable templates that speed up payment creation. Set them up in Settings → Payment Types (super admin only).

Examples

  • Late to training — £2.00
  • Missing training — £5.00
  • Yellow card — £2.00
  • Red card — £10.00
  • Phone ringing in changing room — £1.00
  • Wrong kit — £5.00

When adding a payment, you can pick a payment type and the amount auto-fills. You can always override the amount for individual payments.

Fee or Fine?

Every payment type has a categoryFee (e.g. a Membership Fee or Referee Fee) or Fine (a Club Fine). Use Fee for recurring subs/membership-style charges and Fine for standard misconduct charges. PayUp totals the two separately everywhere balances are shown, so admins can see "fees owed" and "fines owed" as distinct figures. See Managing teams for how this interacts with per-team balances.

Managing payment types

  • Add — Enter a label, default amount, and category (Fee or Fine).
  • Edit — Change the label, amount, or category. Existing payments of that type are not affected retrospectively.
  • Delete — Remove a payment type. Payments already assigned that type keep their amount, category, and reason.
