Seasons & Teams

Manage seasons, switch between them, and organise teams.

Seasons let you group payments, games, and expenses by time period. Manage them in Settings → Seasons (super admin only).

Creating a season

  1. Click Add Season.
  2. Enter a name (e.g. "2025/26 Season").
  3. Optionally set start and end dates.
  4. The new season is created but not yet active.

Setting the active season

Toggle a season as active to make it the default for new payments, games, and expenses. Only one season can be active at a time — activating one automatically deactivates the others.

Switching seasons in-app

Any user can switch between seasons using the Season Selector in the sidebar. This filters the dashboard, payments, games, and expenses to show only data from the selected season.

Deleting a season

Deleting a season removes it from the list. Payments, games, and expenses associated with that season remain in the system but lose their season reference.

Teams let a single club run several squads — 1st team, reserves, youth sides, mixed squads, whatever your setup looks like — side by side, each with its own games and its own balance view. Manage them in Settings → Teams (super admin only).

When to use teams

Teams are useful if your club has:

  • A 1st Team and Reserves
  • Multiple age groups
  • Men's and Women's squads

Every club gets a default team ("1st Team") automatically. If you only run one squad, you can leave it as-is and never think about teams again.

Players can belong to more than one team

Unlike seasons, team membership isn't exclusive — a player who turns out for both the 1st team and reserves can be assigned to both. Set this from the player's profile or when adding them. Games, payments, and balances are all attributed per team, so a dual-registered player's totals are still tracked correctly for each squad they play for.

Fees vs. fines

Every payment type — and every payment — carries a category: Fee (Membership Fee, Referee Fee) or Fine (Club Fine). Use Fee for recurring membership/subs-style charges and Fine for the usual matchday misconduct charges (late to training, yellow card, etc.). PayUp keeps the two totals separate everywhere they're shown, so a club can see "fees owed" and "fines owed" as distinct numbers instead of one blended figure.

Per-team balances

Once a club has more than one team, both admins and players see balances broken down per team instead of a single club-wide number:

  • Admins — the Dashboard shows an outstanding/collected breakdown per team (with the fee/fine split) when viewing "All Teams".
  • Players — the Dashboard and payment flow group what you owe by team, and if you play for more than one, you can choose to pay off a single team's balance rather than everything at once.

Adding, ordering, and archiving

  • Add — Click "Add Team" and enter a name.
  • Edit — Rename an existing team.
  • Reorder — Use the ↑ / ↓ controls to set the order teams appear in selectors and filters.
  • Archive — Hide a team you're not using this season without losing its history. Archived teams stay out of the way but can be restored any time — unlike seasons, more than one team can be active at once, so archiving is just a visibility toggle, not exclusive.
  • Delete — Permanently remove a team. Players and games assigned to that team keep their references but the team name won't be displayed.

Upgrading an older club

Clubs set up before multi-team support existed keep working exactly as before — existing payment types and payments default to the "Fine" category automatically. If you'd also like each player's old single team converted into their new multi-team list, a super admin can run that migration from the bottom of the Settings → Teams page ("Backfill categories" / "Migrate player teams"). It's opt-in and only needs running once.
