Club Management

Members, roles, invites, and club settings.

PayUp has four role levels, each inheriting the permissions of the levels below it.

Owner

The club creator. There is only one owner per club. The owner has:

  • Everything a Super Admin can do
  • Access to Payment Setup (Stripe Connect onboarding)
  • Full control over billing and payout settings

Super Admin

Full management access:

  • Create, edit, and delete payment types, seasons, and teams
  • Invite and remove members
  • Change member roles
  • Delete payments permanently
  • Access all Settings pages (except Payment Setup)

Admin

Day-to-day operations:

  • Create payments and games
  • Add expenses
  • View all player details and payments
  • Mark payments as paid manually
  • Cannot manage settings, members, or roles

Player

Read-only access with payment capability:

  • View the dashboard and personal balance
  • View all players and payments
  • Pay payments online (if enabled)
  • View games and expenses
  • Cannot create, edit, or delete anything

Super admins can invite new members from Settings → Members.

Sharing an invite link

The easiest way to get players to join your club is by sharing the invite link. You'll find it on the Members page — just copy the link and send it to your players via WhatsApp, text, email, or any messaging app.

When someone opens the link, they'll be taken to the registration page with your club pre-filled. Once they create an account, they'll be automatically added to the club with the player role.

Sending an email invite

  1. Click Invite Member.
  2. Enter their first and last name.
  3. Add their email address and/or phone number.
  4. Choose their role (Player, Admin, or Super Admin).
  5. Click Send Invite.

The invited person receives an email with a link to register. When they sign up, they're automatically added to the club with their assigned role.

What happens on invite

When you send an email invite, PayUp automatically:

  • Creates a member record ready for the invitee to claim
  • Creates a player record with their name (so payments can be assigned before they sign up)
  • Sends an invitation email with a registration link
  • Checks for duplicates to prevent inviting someone who's already a member

Sharing your Club ID

You can also share your Club ID (found in Settings) with players. They enter it when registering and are added to the club automatically. This approach doesn't pre-assign roles — players join with the "player" role by default.

The Members page in Settings shows everyone in your club, their role, and their status.

Changing roles

Super admins and owners can change any member's role using the dropdown next to their name. The owner's role cannot be changed.

Removing members

Super admins can remove members from the club. Removing a member deletes their membership but keeps their player record and payment history intact for reporting purposes.

Member statuses

  • Active — The member has registered and is using the club.
  • Invited — An invite has been sent but the member hasn't registered yet.
